AI calling for real estate: from enquiry to site visit

A property enquiry goes cold quickly and a site visit is where it turns real. This is how an AI agent can make the first call, book the visit and hand the buyer to a person, with your telecallers still in charge of the conversation.

A sales office launches a new tower. Enquiries come from two portals, a Meta lead form and the website, mostly in the evening and at weekends. The telecallers work through the list in the order it arrives, and by the time they reach the last names the buyers have heard from three other developers. Nobody did anything wrong. There are simply more enquiries than calls that can be made in the first hour.

This post walks through the path from enquiry to site visit, and where an AI voice agent can take a step so that your telecallers spend their hours on the buyers who are ready to talk to a person. The agent works alongside the team. It does not replace the telecallers or the sales executives.

Where the enquiries come from

Cora Call takes leads in from a Meta lead form, from IndiaMART, and from your website form or call button, and creates the lead with its source attached. A portal that can push each lead to you by webhook works the same way. Tag the project and the source on every lead from day one. The agent uses them to open the call properly ("you asked about the 2-BHK at Wakad on our Facebook form"), and you will need them later to see which source books visits.

The first call, within minutes

The first call has one job: find out whether this buyer is a fit for the project and move them one step, usually to a site visit. It is not the sales pitch. Our post on calling new enquiries while they still remember asking covers why the delay matters and how to set a calling window. Three points matter for property.

  • Open with the enquiry. Say who is calling, for which developer, and which project they asked about. A call that begins "you asked about a 2-BHK in Wakad a few minutes ago" is recognised straight away.
  • Ask if it is a good time. If it is not, book a time. A rescheduled call that the agent keeps is better than a rushed one.
  • Say it is an AI where your policy or the law requires it. See whether your agent should say it is an AI.

Qualifying questions that fit a property call

Qualifying means asking the few things your sales executive would ask first, one per turn, in an order that sounds natural. A sensible set for a residential project:

  1. The area or locality they prefer.
  2. The configuration (BHK) they need.
  3. A budget range. Ask for a range, and accept "not sure yet".
  4. The timeline: moving soon, within the year, or just looking.
  5. Self-use or investment.
  6. Whether they plan to take a home loan.

The agent writes each answer into a field on the lead, so the person who follows up reads them instead of asking again. The prompt rules for asking one question at a time are in writing prompts for a voice agent. Tell the agent what it must not do: quote a final price, promise a discount, a possession date or a rental return, or judge loan eligibility. Those belong to your sales executives.

Example (fictional names)

AgentHello Mr Joshi, this is an AI assistant calling for Greenview Homes. You asked about a two-bedroom in Wakad this evening. Is now a good time?

CallerHaan, bolo.

AgentZaroor. Aap ghar mein rehne ke liye dekh rahe hain ya investment ke liye?

CallerRehne ke liye. Isi saal shift hona hai.

AgentSamajh gayi. Budget ka koi andaaza hai, lagbhag kitna?

CallerEk crore se thoda upar.

AgentTheek hai, ek crore se thoda upar. Kya main aapke liye is Saturday site visit book kar doon? Subah ya dopahar, jo theek rahe.

Hindi and English in the same call

Many buyers open in English and slide into Hindi, Marathi or Gujarati once the call feels easy. The agent should reply in the language the buyer used in their last full sentence and switch when asked. Budgets in lakhs and crores, "dedh crore", "do BHK" and locality names all need testing with real voices from your buyer base. AI calling in Hindi and other Indian languages lists what to check.

Booking the site visit

The visit is the outcome that matters, so let the agent book it during the call. With a calendar connected (Google Calendar, Cal.com or Calendly), it offers two real slots, confirms the day and time back to the buyer, and writes the booking to the lead. If nothing suits, it offers a callback from a sales executive and creates a task for that person.

Then there are the reminders. A reminder call the day before, and a short message on the morning of the visit, are the kind of work an agent does without tiring. The call can also move the visit: a buyer who says "Sunday instead" can be rebooked on the spot.

Example (fictional names)

AgentHello Mrs Kulkarni, this is the AI assistant from Greenview Homes. A quick reminder about your site visit tomorrow at 11 at the Wakad site. Will you be able to make it?

CallerActually my husband has a meeting. Can we do Sunday?

AgentOf course. Sunday at 11, or the afternoon?

CallerAfternoon, around 3.

AgentSunday at 3, then. I will update the booking and send you the address on WhatsApp.

After the visit

The days after a visit decide a lot, and they are the easiest calls to forget when the queue is long. A follow-up call the day after asks how the visit went, whether the family has questions, and whether they would like a second visit or a call with the sales executive. Anything that sounds like interest becomes a task for a person, with the buyer's words attached. A buyer who says "we are still thinking" is told when someone will check in, and that is recorded too.

The same follow-up works for old enquiries that never visited. A polite call asking whether they are still looking is a different kind of call, with different rules; see the section on consent below.

Handing the buyer to a person

The agent's job on a hot lead is to get a person on the line with the facts already in hand. Define "hot" in plain terms: the budget fits the project, the timeline is under a few months, and the buyer wants a visit or asks about price. When a call meets the definition, the agent can transfer to a telecaller or sales executive with a short brief: name, source, area, BHK, budget, timeline, self-use or investment, and what was agreed. If nobody picks up, it tells the buyer a time for a callback and creates a task. Handing an AI call to a person covers warm and cold transfer in detail.

Each lead also needs an owner. Cora Call can assign new leads to telecallers by rule, for example by project or source, and can reassign a lead nobody has touched within the time you set. The aim is the same as the AI's: no enquiry waits unseen.

Consent, DND and calling hours

A buyer who filled in your form has shown interest, but that is not automatically consent for every kind of call. Reminders about a visit the buyer booked are different from promotional calls to an old list, and the rules on the preference register, number series and calling hours differ between them. Keep the wording of your form and the time each person submitted it. Honour a request to stop on the call itself. The rules for automated and AI calls in India goes through the register, DLT and the number series. This post is general information, not legal advice.

The lines

The agent calls over a line you control: your own SIP trunk, WhatsApp voice calls from your linked account, a Cora Call Indian number, or the call button on your website. A burst of leads needs enough channels to call them quickly. SIP, WhatsApp or a virtual number compares the options.

What to measure

Measure the funnel in the order a buyer moves through it, split by source and project:

  • Time to first call from the moment the lead arrived.
  • Contact rate: leads reached out of leads called.
  • Qualified rate: leads that fit your definition, out of those reached.
  • Site visits booked, and how many of them happened.
  • Handoffs that a person picked up, and how long that took.
  • Cost per site visit booked, which is the number to compare against your current cost per visit. Our post on what an AI call costs shows how to work it out.

The reports show AI calls and your people's calls side by side, each counted by its own definition, and never added into one total. That is deliberate: the two do different jobs, and a combined number would hide both.

Where to start

Then decide, with your telecallers, which calls the AI takes and which stay with people; AI and your telecallers is the next post to read. You can hear an agent on the demo and estimate the cost on the pricing page.
